Like many insurers, Protective Insurance Corporation found itself with multiple, siloed systems for each product line after years of growth. The Carmel, Indiana-based insurer, which specializes in marketing and underwriting insurance for the transportation industry, wound up with six different policy administration systems, six different claims systems and six different billing systems. These disparate and disconnected systems hampered future growth and affected the organization’s current operational efficiency.

The carrier dramatically changed up its business processes through digital transformation, working with a team of partners including Ephesoft. Knowing it needed a new, streamlined solution to handle document imaging, classification and extraction, Protective selected Alfresco’s enterprise content management platform and partnered with Colorado-based Zia Consulting to help migrate the millions of policy issuance, billing and claims documents from Oracle to the Alfresco platform, as well as to help deliver a new intelligent capture solution using Ephesoft Smart Capture.

“We knew if we wanted to deliver something that business users valued, appreciated and would actually adopt, we had to turn this into a business initiative and not just an IT initiative,” says Gray,. “We didn’t just want to implement a new system, we wanted to revolutionize the way we do business and really take a look at our processes internally.”

The approach paid off. Protective was able to decrease costs while enabling intelligent content capture and making data easily available and accessible to business units across the organization for actionable insights. What’s more, the partnership between Alfresco, Zia Consulting and Ephesoft was able to migrate more than 10 million documents in just seven days, all during non-peak hours.

Kavas explains that his company’s solution Smart Capture solution provides the connection between the systems and the unstructured data. “Protective Insurance selected our solution because we can not only connect with existing systems with our API layer, but implementation is fast,” Kavas says. “Within weeks, we can get the system up and running and begin translating the unstructured PDF files into data so they can recognize the value very quickly.”
